The Annual Report The 88th Annual Report of The Genealogical Society of Pennsylvania, 25 March 1980. THE PRESIDENT S MESSAGE Formed in 1892 from a nucleus of members of The Historical Society of Pennsylvania your society has always been closely associated with its parent organization. Over the years this relationship has consistently proved beneficial to both societies. Space for our operations and the shelving and servicing of our collections have been provided for us permitting The Genealogical Society to concentrate on the encouragement of interest in genealogy and the collection of both primary and secondary source materials relating thereto. Over the years our collections have grown and in addition to some twenty-two thousand family folders and the collections of noted genealogists, innumerable primary source items have been provided including church and civil records. Valuable indexes have been prepared by our volunteers. Published books of state, county, and family history have been purch2.sed from its inception by The Historical Society from endowed funds, special purpose in nature. Certainly the library is one of which we are justifiably proud. Our regularly scheduled society meetings have been well attended. The Pennsylvania Genealogical Magazine is published twice a year and reaches our entire membership of more than 1700 spread over forty-eight states. As a new avenue of communication there has been added our newsletter "Penn in Hand." As President I thank all who make the continuation of this work possible — our members who provide our much needed financial support, our officers, board members, committee chairmen and members, our staff of two, Miss Margot U. Gleeson and Mrs. Rita S. Mowrer, and the staff of The Historical Society of Pennsylvania. I direct your attention to the detailed report of the year's operations which follows. Charles B. Barclay, President 247 248 The Pennsylvania Genealogical Magazine FELLOWSHIPS COMM 1TFEE As chairman of our Fellowships Committee I wish to report the selection by that committee of Dr. Raymond Martin Bell of Washington and Jefferson College as a Fellow of The Genealogical Society of Pennsylvania. Through a long career, Professor Bell has worked 'diligently in the held of Pennsylvania genealogical research. His work is particularly strong in Central Pennsylvania and Western Pennsylvania genealogy, particularly of families originally settled in Southeastern Pennsylvania. His knowledge of both Pennsylvania German and Scotch-Irish families and their backgrounds and their migrations is most competent. The thoroughness of his research is also made available to libraries and to a wide variety of readers and searchers through his publication of his findings in pamphlet and monograph form, and above all, in a format which can be accessioned and catalogued by historical, genealogical, and regional libraries. His article bibliogTaphy is also commendable. He has not only published in our periodical, the Pennsylvania Genealogical Magazine, but in other genealogical and historical outlets. These include the National Genealogical Society Quarterly, the American Genealogist, the D.A.R. Magazine, the Genealogical Helper, the Pennsylvania Dutchman, the Virginia Genealogist, the Report (Ohio), New Jersey Genesis, Your Family Tree, and the Keyhole. It strengthens our society to have on its hoard of fellows professionals such as Professor Bell who represent and honor by their research careers the upstate and western areas of our Commonwealth of Pennsylvania. It is a pleasure to welcome Raymond Bell as fellow and colleague in the work of The Genealogical Society of Pennsylvania. Dr. Don Yoder, Chairman FINANCE COM MrrTEE The fiscal year 1979 was financially successful for your Society as receipts exceeded the budget while expenditures did not. Our members have been generous in making special contributions. With allowance for increasing costs and additional activities we anticipate a balanced budget for 1980. The Annual Report 249 The Society's endowments are maintained in a National Bank where current additions of non-restricted funds are invested in short term funds for increased income. The investment policy is under continuous review by the Finance Committee. Members are invited to inspect reports of the Treasurer and the Certified Public Accountants at the office. Winfield S. Weer, Chairman FUND RAISING The response of our membership to the appeal made in September 1979 was most gratifying. More than $8,200 was contributed to preserve records within our own collections, many being one of a kind. The program for which these funds were given is now underway. The support of all contributing members is deeply appreciated. Donald C. Turner, Chairman HEREDITARY AND PATRIOTIC SOCIETIES COMMITTEE Your Committee has had a busy year. The ever increasing interest in genealogy has brought many queries about joining one or more of the hereditary patriotic societies as more people discover that they might have some qualifying ancestors back in the roots of their family tree. There are dozens of these hereditary societies in the country, all with varying admission requirements. So prospective members are confused and even some of the societies are confused as to their own administrative procedures for new candidates and about what documentation they accept for proved lineage. In effort to be of assistance to hereditary societies and to their prospective members, your Committee is recommending and publishing certain Standards of admission requirements that may be used by all societies. This article, entitled "So You Are Being Proposed for Membership in a Hereditary Society," appears in this issue of the "Genealogical Magazine" and will be reprinted for distribution to the societies. It covers Admission Procedures starting with the Proposer and Seconder and acceptance of a qualifying ancestor through the completion of the lineage papers with an excellent discussion of proper documentation. Robert Le Conte Halberstadt, Chairman 250 The Pennsylvania Genealogical Magazine LIBRARY ACCESSIONS COMMITTEE The committee has been working on a plan to contact churches in Delaware County by letter to ascertain if they have records of vital statistics before 1910, and then to encourage them to let us microfilm them in order to preserve these records. A letter is in preparation with the hope that it wilt be sent out in early 1980, to be followed up by personal contact. Cemeteries and funeral directors will also be contacted where possible, for records of genealogical interest. The committee also met in February 1980 to discuss the preservation of our own records, many of which are falling apart because of extensive use. The Xerox Corporation here in Philadelphia has been contacted to determine cost of different methods of copying these records, other than microfilm, so that they will be readily available on the shelves for researchers' easy access. To date we have not received the information needed to proceed from the Xerox Corporation. Throughout the year 1979 individual donors contributed 183 items of genealogical interest to The Genealogical Society of Pennsylvania. The society, under the Records Retrieval Program, microfilmed the records of one cemetery and four churches. This material is contained on 15 reels of microfilm. In addition, the society also microfi!med the genealogical collection of Mrs. Hannah Benner Roach resulting in 27 reels of film. Through the dedicated volunteer efforts of Mrs. Frances Schive Smith a complete surname index has been compiled to the twentyone volumes of Bible records in The Genealogical Society of Pennsylvania collection. This index comprises approximately 6,760 surnames. In addition, Mrs. Smith alphabetized and typed a complete name index to the three volumes of records of St. Joseph's Roman Catholic Church, Philadelphia, Pa. This project was started by Mr. Anthony Roth who copied the names onto index cards. The index contains approximately 21,330 names. Mrs. Smith is presently working on abstracting genealogical data from early Pennsylvania newspapers. The material will be added to the society's growing collection of Pennsylvania newspaper excerpts. Russell Bement, Jr., Chairman The Annual Report 251 LIBRARY CATALOGUE COMMITTEE The Library Catalogue Committee is responsible for maintaining consistent catalogue precedures. Under the expert direction of Mrs. Rita Schive Mowrer, a total of 909 items were catalogued during 1979, resulting in the addition of 3,670 index cards into the Library catalogue files. A manuscript of marriages and deaths, abstracted from Northumberland ounty, Pa. newspapers, was found by Mrs. Mowrer in the collection of Heber G. Gearhart, and the material was typed, indexed and placed in the newspaper collections of The Genealogical Society of Pennsylvania. 'Me index contains approximately 1,550 names. A change in the cataloguing of Bible records was also made during 1979. Formerly, 21 volumes of these records were cataloged under a Ph (Philadelphia) category. However, many of the names in the volumes represented families both within and without the limits of Philadelphia. Therefore, these have been placed under the new classifications BIB/1, BIB/2, etc. and moved to a separate section of stacks near the newspaper excerpts. Mrs. Mowrer's assistant, Mrs. Frances Smith, has done a complete surname index to the 21 volumes. Mrs. Georges Carousso, Chairman MEMBERSHIP COMMITTEE From January through December 1979, the Membership Committee presented 206 new members for election by the Society's Board of Directors. Two additional members were reinstated. The Society lost five members by death; 13 members resigned; 45 were dropped for non-payment of dues. With this net gain of 145 members, our total membership in December 1979 was 1715, as compared to 1570 members in 1978. With the opening of the successful Genealogical Exhibit, "Who Do You Think You Are?", in the Hall of the Historical Society of Pennsylvania in March 1979, the practice of sponsorship for new members was no longer practical and was dropped. Many new members joined after viewing the fine exhibit which was, of course, open to the public. The percentage of out-of-state members indicates that Margot Gleeson, our Administrative Assistant, continues to be responsible 252 The Pennsylvania GenEalvgicat Magazine for a large share of new members through her correspondence and office visitors. To those of you who continue to add new members to our actively growing Society, the Membership Committee extends its warm thanks. Mrs. Georges Carousso, Chairman PROGRAM COMMITTEE The programs of the past year have been attended by many members of longstanding who hail never before participated in this important GSP activity. The variety of interesting subjects and tours presented an opportimity for broadening their genealogical scope, as well as becoming acquainted with others who have similar inclination for digging in the past. We hope that next year even more members— old and new will join us for what promises to be an exciting season. In my final report as Program Chairman, I would like to thank everyone who served with me on the Program Committee for their valued support and most particularly my appreciation to Mrs. J. Willard Hollander, Mrs. David U. Ullman and Mr. William Woys Weaver for their superlative work in preparing the post-meeting refreshments and attractive decorations which did so much to enhance the pleasure of our members and guests. Nirs. A. Douglas Oliver, Chairman PUBLICATION COMMITTEE The Publication Committee continued its primary function of printing and distributing The Pennsylvania Genealogical Magazine. The first two numbers of Volume XXXI were completed under the able direction of Helen H. Woodroole, Editor. The committee is grateful to those who submitted articles, made helpful suggestions and supported the committee during the year. We are especially indebted to Mrs. Rita Schive Mowrer, our Catalog Assistant; to Lewis D. Cook, a Fellow of this Society, and those who assisted with the Book Reviews. Once again, the Publication Committee reminds members of the society and interested readers that the pages of the Magazine arc The Annual Report 253 open to all. We depend upon your continued contributions of source material, of genealogical articles, and other items of general reader interest. Aubrey H. Baldwin, Chairman PUBLICITY AND PROMOTION COM MITIEE In a sense, the past year has been one of experimentation, of testing a new approach to outreach for the Society. The results have been mixed but encouraging. Larger and more extensive mailing lists to a wide variety of urban and suburban newspapers, as well as many radio and television stations and interested individuals, has raised the Society's public visibility and has increased lecture attendance somewhat. Pick-up in city newspapers has been especially weak. The reasons for this are not clear, since there is no evident pattern. But it has been suggested that this may he the result of a lack of understanding on the part of city editors as to what the Genealogical Society is and what it is trying to accomplish. There are ways to remedy this. Many positive and unexpected things have happened. We have had a lecture taped for radio. We have had the Society listed in the activities bulletin issued by the City of Philadelphia for visitors. We have had good coverage in several suburban newspapers, particularly in areas where the Society has had little or no visibility before. But there is a great deal we need to do to improve our publicity program. William IrVoys Weaver, Chairman VOLUNTEER PROJECTS This committee assisted visitors to the library throughout the year and worked on the indexing of items within our collections. In 1980 it is hoped to form a Volunteer Club. Edwin S. Dunkerley, Chairman NEW MEMBERS 1979 Miss Gertrude Addicott, Cincinnati, O. Mr. William A. Allen, Bedford, Mass.
